Five qualities to look for in a business AI assistant
May 30, 2025
Microsoft Copilot shows how AI can make everyday tools such as Word and Excel more useful. For organizations already using Microsoft 365, it offers a familiar way to improve productivity.
But if you need an assistant that can find and explain information across several systems, it's worth considering whether Copilot covers all your requirements.
Copilot may be less flexible in environments that combine Microsoft tools with other platforms and specialist systems. Per-user pricing can also make wider deployment expensive.
Here are five qualities to consider when choosing an AI assistant for your organization's knowledge.
These qualities matter when comparing solutions:
1. Seamless integration with your existing systems
An AI assistant is most useful when it connects to the tools your teams already use, such as specialist applications, CRM and ERP systems, intranets, and customer support platforms.
Those connections can help automate routine tasks, including retrieving information, updating statuses, and responding to questions. That means less manual work and faster answers.
2. Security you can rely on
AI assistants often handle sensitive information – whether internal documents, customer data, or personal information. Security is therefore absolutely critical.
Look for encryption, secure authentication, access controls, and appropriate audit logs. Check how the provider supports relevant privacy requirements and security standards, rather than relying on a general claim of compliance.
3. Role-based access for secure and efficient use
In an organization where different roles carry different responsibilities, role-based access control is crucial. It ensures that each user can only access the information they need – and nothing more.
Role-based access helps reduce mistakes, supports compliance requirements, and gives organizations greater control over sensitive information.
A good AI assistant should integrate with existing authentication systems like Entra ID or other IAM solutions and offer flexible access control based on roles and groups.
4. Source transparency builds trust and verifiability
An answer is easier to trust when you can see where it came from. This is particularly important when employees use an assistant to support decisions that need to be documented.
The best solutions are those that can provide answers with clear references to the source material: documents, policies or databases. This builds user confidence and makes it easier to verify information.
5. Editorial control of the Knowledge base
Giving an assistant access to an entire SharePoint environment may sound convenient, but more content does not necessarily mean better answers. Outdated or irrelevant documents can reduce quality.
Choose approved, current, relevant sources and establish a process for reviewing them.
Connecting to SharePoint selectively
Most modern AI assistants can connect directly to SharePoint, but instead of providing broad access, you should actively select specific folders or documents. This way, you can:
- Decide which documents should actually be indexed and used by the AI
- Set up publishing routines where only approved versions are available
- Keep drafts, unfinished notes, and confidential files out of the assistant's knowledge sources
Some solutions also offer an admin interface where you can easily publish or remove documents from the knowledge base without altering your SharePoint structure.
The benefits: security, quality, and traceability
By using SharePoint as a source with selective access, you gain:
- Control over what the assistant actually knows
- The ability to version control the content used
- Reduced risk of incorrect or sensitive responses from the AI
The goal is an assistant that draws on a curated, well-maintained knowledge base rather than indiscriminately searching every file in SharePoint.
