How Elvia modernized its documentation using Readin Document Portal and SharePoint
Elvia AS is Norway's largest grid company, providing electricity to nearly two million people. The company owns and is responsible for the operation, maintenance, and investments in the regional grid and the majority of the distribution grid in Oslo, Innlandet, Akershus, and Østfold.
Over the years, Elvia has built up a library containing information and documents related to the company's network area. This information includes relevant documentation for contractors and other subcontractors who perform installation, maintenance, and upgrades in the power grid. This work is subject to numerous safety and quality requirements.
Difficulty finding documents
Previously, users of Elvia's Online Library had to find the relevant document by searching and browsing in SharePoint. The documents existed in different formats such as Word, PDF, Excel, and HTML. This made it challenging to search for and read the correct document. Additionally, the solution was not well-suited for mobile devices and tablets.
Readin Document Portal
Elvia wanted a solution that increased accessibility for users and simplified the workflow for authors. The choice fell on the Readin Document Portal.
With the Readin Document Portal, Elvia can now offer its authors the ability to write and update the company’s important documents in Microsoft Word and SharePoint. Once the document is completed, it is published directly from SharePoint to Elvia's Online Library using the "Readin SharePoint plugin."
Users, including installers, contractors, and subcontractors, can search, filter, and read the documents directly in the browser without the need for additional software.
Extensive use of metadata makes filtering efficient. Users can choose to register, enabling various user functions such as notifications when documents are updated, the ability to add comments and bookmarks, dialogue with the author, and more. Users can access the Online Library with all functions available on any device, whether it's a PC, tablet, or mobile phone.
